This is an actual image of my desk while writing this post. I have unfiled papers, a pile of gift cards, tangled cords, and a lot of office supplies trying to pretend that they’re organized because they’re in containers. But let’s be real, this is not a clean and conducive environment for productivity.

I spent some time this morning looking for an important paper I thought I had filed away… turns out it was still sitting on my desk. The gift cards aren’t doing me any good sitting on my desk and not in my wallet for when I go shopping. I am willing to guess that there are several markers and pens that don’t even work anymore.
After assessing my current situation, I know I need to heed my own advice and declutter this chaos.
Step 2: Declutter and Organize
Once you’ve identified problem areas, it’s time to declutter and organize. Start by sorting through papers and documents. Establishing a systematic approach to paper management can help improve productivity and organization in your workspace. Create the following piles to help you categorize every piece of paper:
- Toss
- Keep/file away
- Action needed
๐กPro tip: You can use the same or similar categories for digital files & emails. I like to title my categories with fun names like “Deleteville,” “Forever Files,” and “Attention Alley.” I also find it helpful to color code wherever and whenever I can.
Invest in storage solutions such as file organizers, desk trays, or shelving units to keep your workspace tidy. There are several stores where you can find inexpensive storage solutions to help you declutter.

Additionally, take the time to untangle cables and cords, using cable organizers or ties to keep them neat and out of the way.
Step 3: Minimize Distractions
In today’s digital age, it’s easy to become overwhelmed by notifications and distractions. I’ll share more about digital detoxing at a later time, but you can take steps now to minimize these distractions in your workspace by decluttering your digital environment. Close unnecessary tabs and applications on your computer, mute notifications, and consider using productivity tools or apps to help you stay focused.
Step 4: Create Zones for Different Tasks
Those that know me know that one of my favorite mantras is “Everything in its place.” To further optimize your workspace for productivity, consider creating distinct zones for different tasks. Designate areas for activities such as reading, writing, brainstorming, and administrative tasks, and ensure that you have the necessary tools and resources easily accessible in each zone. This can help streamline your workflow and make it easier to transition between tasks throughout the day.
Step 5: Regular Maintenance
Finally, maintaining a clutter-free workspace requires ongoing effort. Make it a habit to tidy up your workspace at the end of each day, filing away documents, clearing off your desk, and organizing any loose items. Schedule regular decluttering sessions, such as once a week or once a month, to prevent clutter from building up again over time. During these sessions, review your filing system and purge any documents or items that are no longer needed. Additionally, take the time to assess your workspace layout and storage solutions, making adjustments as necessary to optimize efficiency and functionality.
